DFox: you have a ton of work to do, so dont fret. We have all managed previously, and surely we will again - however its a lot easier for me since I do eat eggs and cheese in copious amounts :)
dfox: just some cooked options (like the rice/noodle/soup you mention), so it's not ALL grilled/fried would be nice :)

Here's a high-level overview of the plan:
1) Get a critical mass of people together (working on that; poke me if you want added to the list and access to the Excel doc!)
Ideally numbers are locked in by mid-February as last-minute stuff will make insane.
2) Record on a shared GoogleDocs Excel sheet how folks are coming (bus, plane, car), food allergies, what and how much they can bring or will have access to (including gear like grills, coolers, fridges etc.)
3) Plan out how to meet everyone's needs from what we will have; figure out what I need to get on grocery trips near the party, and who may need to do cooking or store food
4) We arrive, we cooperate, we eat.
The hotel suite I am sharing at the Crystal has a kitchen and fridge. (I got too cold sleeping in the hall last year because I Am ALWAYS Cold, hence hotel -- not the hall's fault.)
I will also be bringing some delicacies from the States -- things like Oreos which are vegan there, vegan Daiya fake cheese, fake marshmellows, etc.
I land in Brussels on Wednesday, so I have some time to shop both nearer the party and farther away, although we're likely taking the train from there so I can't go too nuts. Likely getting to town a day or two early just to stock up the hotel room (won't come near the partyplace, I promise, except to go to the grocery store on the other end of the shopping centre if I have to).

What you spend on food/booze/whatever depends a lot if you buy at the food-stands, secures stuff at Rewe (or similar) or eat at your hotel/some restaurant. Pretty difficult to say :)

How much you will spend on food and drink depends on how much/what you eat and drink. Beer prices last time were 1,50€ /0,33l ; 2,00€ / 0,5l ; Coke: 2,00€ / 1l at the infodesk. There's a supermarket nearby, and there are foodstands outside with prices i don't remember.

I can relate that I usually spend about 200 euros for the stay there apart from tickets, hotels and travel. But I throw around money like im in a rap video, so god knows really :) Food is cheap in germany, I imagine you could exist on 50 very poorly, 100 decently, 150 quite good and 200 snorting coke and paying finnish girls to slap your bottom.
